This Privacy Policy describes how Relm, Inc. (“Company,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with the Relm Pro platform and related services (the “Service”). By using the Service, you consent to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Account and Registration Information

When you create an account, we collect information such as your name, email address, organization name, job title, and billing information. If you invite team members, we collect their email addresses and assigned roles.

1.2 Property and Portfolio Data

When you add properties to portfolios or initiate AI research, we collect the property addresses you search, property details, portfolio configurations, and all data fields you enter or modify within the Service, including financial projections, unit information, and comparable data.

1.3 User-Uploaded Documents

You may upload documents such as rent rolls, profit and loss statements, lease agreements, tax bills, insurance policies, and offering memoranda. These documents are stored and indexed to enable AI-powered document search and Q&A functionality. We process and index the content of uploaded documents solely to provide Service functionality.

1.4 AI Chat and Interaction Data

We collect the content of your conversations with our AI chat assistants, including questions asked, instructions given, AI responses, and any edits you accept or reject. This data is used to provide the Service and may be used to improve AI model performance.

1.5 Usage and Analytics Data

We automatically collect information about how you use the Service, including pages visited, features used, AI agent invocations, token consumption, search queries, session duration, click patterns, and error logs. We use this data to operate and improve the Service.

1.6 Technical and Device Data

We collect technical information such as IP address, browser type, operating system, device identifiers, referring URLs, and diagnostic data. This information is collected automatically through cookies, log files, and similar tracking technologies.

1.7 Billing and Payment Information

Payment processing is handled by our third-party payment processor, Stripe. We do not store full payment card numbers. We may receive and retain billing details such as billing address, last four digits of a card, and transaction history.

We may use aggregated, anonymized, and de-identified usage data, AI chat interactions, and platform interactions to train, evaluate, and improve our AI models and research agents. We will not use your personally identifiable information or your User Content (uploaded documents and property-specific financial data) to train AI models without your explicit consent.

By using the Service, you consent to the use of aggregated and de-identified interaction data for AI improvement purposes.

4. Information Sharing and Disclosure

We do not sell your personal information. We may share your information in the following circumstances:

4.1 Service Providers

We share information with third-party vendors and service providers who assist us in operating the Service, including cloud infrastructure providers, AI model providers, payment processors (Stripe), analytics providers, email delivery services, and mapping/geocoding services. These providers are contractually obligated to use your information only for the purposes of providing services to us.

4.2 Third-Party Data Sources

To fulfill research requests, our AI agents query third-party data sources including public records databases, demographic databases, real estate market data providers, and economic data feeds. Queries to these services may include property addresses and related parameters.

4.3 Business Transfers

If we undergo a merger, acquisition, bankruptcy, dissolution, or sale of all or substantially all of our assets, your information may be transferred as part of such transaction. We will provide notice as required by applicable law.

4.4 Legal Requirements

We may disclose your information if required to do so by law, court order, subpoena, or governmental regulation, or if we believe in good faith that disclosure is necessary to protect our rights, your safety or the safety of others, or to investigate fraud.

We may share your information with third parties with your consent.

4.6 Aggregated and De-identified Data

We may share aggregated or de-identified information that cannot reasonably be used to identify you for research, analytics, benchmarking, or industry reporting purposes.

5. Data Retention

We retain your information for as long as your account is active or as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Following account termination, we may retain certain information for up to seven (7) years for legal and business purposes. User Content may be deleted following account termination; we recommend maintaining independent copies of all uploaded documents.

6. Security

We implement commercially reasonable administrative, technical, and physical security measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include JWT-based API authentication, row-level database security, organization-based data isolation, and encryption of data in transit and at rest. However, no security system is impenetrable. We cannot guarantee the absolute security of your information, and we disclaim all liability for any unauthorized access, disclosure, or breach of security except to the extent required by applicable law.

7. Cookies and Tracking Technologies

We use cookies, web beacons, pixel tags, local storage, and similar technologies to operate the Service, authenticate users, remember preferences, analyze usage, and improve functionality. By using the Service, you consent to our use of these technologies.

You may configure your browser to reject cookies, but doing so may impair the functionality of the Service. We do not currently respond to browser “Do Not Track” signals.

The Service integrates with or links to third-party services including Stripe for payment processing and various data providers. These third parties have their own privacy policies, and we are not responsible for their practices. We encourage you to review the privacy policies of any third-party services you interact with through the Service.

10. California Privacy Rights

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), including the right to know what personal information we collect, the right to delete personal information, and the right to opt out of the sale or sharing of personal information. We will not discriminate against you for exercising your privacy rights.

11. International Users

The Service is operated in the United States and is intended for use in connection with United States commercial real estate. If you access the Service from outside the United States, you do so at your own risk and acknowledge that your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your jurisdiction.

12. Children's Privacy

The Service is not directed to individuals under the age of 18, and we do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly.

13. Changes to This Privacy Policy

We reserve the right to update or modify this Privacy Policy at any time. We will notify you of material changes by updating the Effective Date at the top of this policy and, where appropriate, by sending notice to the email address associated with your account. Your continued use of the Service following any modification constitutes your acceptance of the revised Privacy Policy.
