The Documents section holds everything you've uploaded for the property — rent roll, offering memorandum, P&L, T-12, site plans, photos. Each upload is OCR'd, indexed, and made available to the chat panel as a primary source.

What's on this card

A list of documents with:

  • Filename and uploaded date.
  • Type — Relm auto-detects rent roll vs OM vs P&L vs other.
  • Size and page count.
  • Status — uploaded, processing, indexed, indexed-with-warnings, failed.
  • Open / Preview action.

Supported formats

  • PDF — text or scanned (we OCR scanned PDFs).
  • XLSX / XLS / CSV — rent rolls, T-12s, P&Ls.
  • DOCX / TXT — narrative OMs, broker memos.
  • Images — JPG, PNG, HEIC for site plans, unit photos.

If you have a format that's not on this list, try uploading it — most common formats work — and reach out if it doesn't.

How indexing works

After upload, each document goes through a pipeline:

  1. Extract — text is pulled (OCR if needed).
  2. Chunk — split into searchable passages.
  3. Embed — passages are turned into vectors so chat can find them by meaning, not just keyword.
  4. Type-detect — Relm classifies the document (rent roll, OM, P&L, etc.) so it can be routed to the right downstream pipeline (e.g. rent rolls feed the Units section).

You can watch the status pill move from ProcessingIndexed. Most documents complete in 30–90 seconds. Larger PDFs (200+ pages) can take longer. See Indexing & processing status.

Citations

Once a document is indexed, the chat panel can cite specific pages from it. A citation looks like:

Click it to open the document at that page in the viewer.

Privacy & retention

Uploaded documents are encrypted at rest, scoped to your organization, and never used to train models. We retain documents while a property is active and archive them when a property is deleted (with a 30-day recovery window). See Privacy & data handling.

Common issues

  • A scanned PDF returns no text. OCR sometimes fails on heavily-stamped or watermarked documents. Try re-saving from the source as a text PDF if you have one.
  • A rent roll didn't auto-populate the Units section. The auto-detection failed; manually mark it as "Rent Roll" from the document's actions menu and re-process.
  • A document is stuck "Processing". Wait 5 minutes, then refresh. If it's still stuck, report it.
